The AI Workforce Assessment

Map your team. Quantify the investment. Implement AI in 8 weeks. A paired engagement with Quantum's senior team — Shawn Peterson and Marko Ajder — that turns AI from strategy into shipped workflows.

3 AI workflows live by end of program · Full handoff to your team · 12-month forward roadmap

Why This Is Different

Most AI assessments stop at the recommendation

Ours starts there. The free 2-session assessment produces a roadmap. The 8-week paid program walks alongside your team and ships the first three AI workflows — so by the end, you have working systems, a trained team, and a 12-month plan for the next wave.

Strategy decks gather dust

91% of enterprise AI initiatives never reach production. Most stall between recommendation and the first shipped workflow. We close that gap.

Generic AI advice doesn't ship

Your workforce, your CRM, your specific bottlenecks. We map your actual payroll against pre-built AI task libraries — not abstract industry frameworks.

Consulting hand-offs kill momentum

Shawn and Marko stay paired across all 8 weeks. The people who scoped the engagement are the same people building with your team in Week 7.

What You Get

Eleven deliverables, three live AI workflows, one trained team

Every week produces something concrete. By Week 3 your first AI workflow is live. By Week 8 you have three working systems, a governance playbook, and your team is running them without us.

Strategic

Six strategic deliverables

Workforce Map — full inventory of your team by role
Baseline Investment Report — quantified current spend per role
Efficiency Roadmap — prioritized AI opportunities
Use-Case Matrix — every use case scored on impact, complexity, cost
12-Month Forward Roadmap — next-wave AI plan
Final Outcomes Report — measured ROI vs. baseline

Tactical

Five tactical deliverables

3 AI workflows in production — not pilots, not prototypes
AI Governance Playbook — policies, audit logging, guardrails
Team Training Documentation — onboarding materials your team can use
Performance Dashboards — live impact measurement in HubSpot or your CRM
Handoff Documentation — everything to keep going independently

Week-by-Week

The 8-Week Structure

One working session per week. Eight weeks from kickoff to fully-handed-off engagement. Discovery is concentrated in the first two weeks so we spend the remaining six on shipping, coaching, and scaling real workflows.

Week
1

Discovery & Workforce Mapping Foundation

The week we go deep. Map every employee on your revenue and operational teams by role type. Quantify investment per role (loaded cost, hours, capacity). Audit your full tech stack. Conduct 2–3 stakeholder interviews to surface strategic context. Apply Quantum's pre-built AI task libraries to each role type. Output: a single Efficiency Roadmap document showing exactly where AI can recover the most capacity in your specific organization.

You get: Workforce Map · Baseline Investment Report · Tech Stack Audit · Efficiency Roadmap

Week
2

Prioritization & Sprint Planning

Score every identified AI use case on impact, complexity, and cost. Joint decision with your team on the top 3 use cases to pursue during weeks 3–7. Map dependencies, technology requirements, and who from your team owns what. Walk out with a six-week sprint plan everyone agrees on.

You get: Prioritized Use-Case Matrix · 6-Week Sprint Plan

Week
3

Build Use Case #1 Milestone

The first quick win lands live in production. Hands-on co-building — Quantum guides the technical decisions; your team participates so the knowledge transfers. Designed to ship something measurable by end of week. Early proof points create the internal buy-in you'll need for weeks 4–8.

You get: First AI workflow live · Live measurement instrumented

Week
4

Validate Use Case #1 + Build Use Case #2

Measure actual impact of Week 3's workflow against the baseline targets. Adjust, fix, refine where the data tells us to. While that's iterating, begin the build on use case #2. Coach your internal champion on how to manage AI-augmented workflows day-to-day.

You get: Impact Measurement Report · Use Case #2 in active build

Week
5

Use Case #2 Goes Live + Governance Layer

Ship the second AI workflow into production. Establish the governance foundation most teams skip until something breaks: usage policies, audit logging, data handling guardrails, role-based access. This is the unsexy work that keeps you out of trouble at the board level.

You get: Use Case #2 live · AI Governance Playbook

Week
6

Build Use Case #3 + Begin Team Rollout

Third use case enters the build phase. In parallel, start rolling Use Cases #1 and #2 out to the wider team — power users, managers, individual contributors who'll use the workflows daily. Build the live measurement dashboards your leadership will check weekly.

You get: Use Case #3 in build · Team rollout in progress · Live performance dashboards

Week
7

Use Case #3 Goes Live + Scale & Train

Third AI workflow ships into production. Train your power users and internal champion on managing, iterating, and improving all three workflows independently. Mid-engagement executive review: are we tracking against the baseline efficiency targets from Week 1?

You get: Use Case #3 live · Team Training Documentation · Executive Review

Week
8

Handoff & 12-Month Roadmap Final

Final session: complete handoff documentation, measured outcomes summary, ROI realized vs. baseline projections from Week 1, and a 12-month forward roadmap for the next wave of AI use cases your team can pursue independently. The engagement closes — your AI program continues.

You get: Final Outcomes Report · 12-Month Forward Roadmap · Full Handoff Documentation

How Week 1 Works

The Workforce Mapping Methodology

Week 1 is where this program differentiates from every other AI assessment. We don't start with technology — we start with your payroll. Most AI ROI conversations compare to vague industry benchmarks. We compare to your own organizational reality.

Step 1

Role Inventory

Map every employee on your revenue and supporting teams into role categories: sales, marketing, customer success, RevOps, leadership, adjacent operations.

Step 2

Investment Quantification

For each role: FTE count, loaded cost, hours per activity type, total annual investment. The chart that tells you exactly where your revenue payroll is going.

Step 3

Pre-Built Task Libraries

Quantum maintains pre-built libraries of AI-applicable tasks for every common role type. We don't reinvent — we apply. Realistic capacity recovery estimates from prior engagements.

Step 4

Stakeholder Interviews

2-3 senior stakeholder interviews — typically CEO, head of revenue, and one operational leader. Surface strategic context the data alone can't show.

Step 5

Tech Stack Audit

Honest map of your current technology — what you pay for vs. what's actually used. Most assessments find expensive software underused, redundant tools, integration gaps blocking automation.

Output

The Efficiency Roadmap

Everything from steps 1-5 synthesizes into your Efficiency Roadmap — delivered at the end of Week 1. Where the highest-value AI opportunities live, quantified, prioritized, ready to act on.

Example: SDR Role Library

For SDR roles, the task library includes 14 activities ranging from prospect research (AI handles fully) to discovery call execution (AI doesn't touch). Each gets a realistic capacity recovery estimate. Total recoverable capacity per SDR typically lands between 25-40%.

AI in Production

What Quantum has built

Not theoretical. These are real AI systems running in production across Quantum's client base today.

Managed Services Provider

AI ticket distribution system saves IT leadership 30% of their time

A custom AI agent routes incoming tickets based on type, urgency, technician specialization, and historical resolution patterns. The IT director recovered ~30% of their time previously spent on manual triage. Built using Claude + HubSpot + n8n in under 30 days.

Office Equipment Dealer

AI-augmented lease attack scoreboard surfaces 173 priority renewals

Across 600+ active leases, AI surfaces the top 173 expiring within the urgent renewal window — prioritized by deal size, account fit, and engagement signals. Reps know exactly which accounts to call first every Monday morning.

B2B Sales Team

AI-powered call summarization → HubSpot deal notes

Every Zoom call summary is auto-extracted, parsed for competitor mentions, next steps, and champion identification, and pushed directly to HubSpot deal records. Reps reclaimed ~4 hours/week previously spent on post-call documentation.

Marketing Ops

AI content generation pipeline produces 10x output

Blog posts, sales emails, LinkedIn content, and ad copy generated through a Claude-powered system that pulls from each client's voice library and approved messaging. Human-in-the-loop review keeps quality high while output scales.

Who Runs Your Engagement

Two people. Both senior. Paired throughout.

No bait-and-switch from a senior salesperson to a junior delivery team. Both Shawn and Marko are present on every weekly working session for the full 8 weeks.

Strategic Lead

Shawn Peterson

Principal at Quantum Business Solutions. Strategic lead on every AI Workforce engagement. Personally responsible for the workforce mapping methodology, use-case prioritization, and executive-level conversations. Twenty-plus years building revenue operations across hundreds of B2B organizations — with the last several years focused on AI-augmented revenue work.

Implementation Lead

Marko Ajder

Senior HubSpot and AI implementer at Quantum. Responsible for the hands-on building during weeks 3-7. Marko has built the AI ticket routing systems, predictive scoring models, AI-augmented sales workflows, and HubSpot integrations that power Quantum's current client production environments. The person actually doing the work when it's time to ship.

Why Pairing Matters

Most consulting firms front-load senior people for the sale, then hand off to a junior team for delivery. We don't. Shawn drives strategic decisions; Marko drives technical execution; you get the benefit of both perspectives in every conversation. The people you meet in Session 1 are the same people building with you in Week 7.

When to Book

Five signals you're ready for paid implementation

The 8-week program isn't for everyone. It's for B2B revenue teams who have already decided AI is part of their future and want a structured, accountable path to operationalize it.

1. You've already taken the free assessment

You've walked through the 22-question quiz and either the free 2-session working engagement. You know the roadmap exists — now you want execution, not more strategy.

2. You have a revenue team of 5 or more

Sales, marketing, and customer success combined. Smaller teams can benefit, but the workforce mapping framework hits its stride with at least five roles to map.

3. You have executive sponsorship

Someone with budget authority who will engage weekly. Without an executive sponsor, the roadmap stalls. With one, the program produces visible internal momentum within 30 days.

4. You want concrete outcomes in 8 weeks

Not "a 50-page strategy deck for next quarter." Three AI workflows live in production. Real revenue or efficiency impact. Trained team. Forward roadmap.

5. You have $9,500 budget available

Fixed-fee, transparent. 50% kickoff, 50% at Week 5 checkpoint. Net 15 invoicing via QuickBooks. No surprise overages.

If Three or More Apply

You're a strong fit. Book a 30-minute conversation with Shawn and we'll confirm fit before sending an SOW. No commitment until you sign.

After Week 8

What happens when the engagement ends

The program closes cleanly. No automatic conversion to ongoing retainer. Three optional paths, your choice — and "we're good, thanks" is always a valid answer.

Path A · Self-Run

Take it and run

Your team executes the 12-Month Forward Roadmap independently. You have the workflows, the documentation, the trained champion. We're done.

No cost

Path B · Project

Standalone use-case builds

Fixed-fee builds of additional AI use cases scoped from your forward roadmap. Pick when you're ready. No commitment between projects.

$5,000 – $25,000 fixed

Path C · Retainer

Continued partnership

Monthly retainer for ongoing AI strategy, build support, team coaching, and roadmap refresh. Month-to-month with 60-day cancellation.

$1,000 – $5,000/month

Investment

$9,500. Fixed fee. Eight weeks. No surprises.

Transparent pricing. Comparable engagements from larger AI consultancies typically run $25,000 – $75,000 for the same duration. We price below market because the assessment is how we earn the right to work with you long-term — not where we make our profit.

Our Pricing Philosophy

If after 8 weeks you don't see clear, measurable value from the engagement, you walk away with the deliverables and we wish you well. Our long-term business depends on the program producing results worth talking about.

Trust

What you won't get from this engagement

Honesty about what this program isn't. We'd rather decline a fit that's wrong than waste your time or ours.

×

A platform pitch in disguise

Quantum doesn't sell its own AI platform. Recommendations are drawn from the full vendor landscape — Claude, OpenAI, Gemini, n8n, HubSpot Breeze, ZoomInfo, and others.

×

AI for processes that are already broken

AI amplifies whatever you feed it. If your CRM data is unreliable or your sales process is unclear, we'll flag the fixes that need to happen first — even when those fixes don't involve AI.

×

A plan to replace your team with AI

Human-in-the-loop is the long-term best practice, not a temporary crutch. The Workforce Map is about recovering capacity — not identifying who to lay off.

×

A 50-slide roadmap that never ships

Every week produces something concrete. By Week 3, your first AI use case is live in production. By Week 8, you have three working AI systems running.

×

Endless engagement

8 weeks. Clear end date. Most consulting engagements stay open-ended because that's where the consultants make money. We close the engagement cleanly — your choice whether to continue.

×

Generic AI strategy buzzword bingo

Your Workforce Map will be specific to your headcount. Your Efficiency Roadmap will name actual employees and actual workflows. Nothing built from a template you could download for free.

FAQ

Common questions about the 8-week program

How is this different from the free AI Assessment?

The free 2-session assessment produces a Readiness Scorecard, Opportunity Map, and 30/60/90 Roadmap — enough for teams who want a directional plan they'll execute themselves. The 8-week paid program goes much deeper: we quantify the financial impact employee by employee, build the implementation plan together with your team, and stay engaged for the full 8 weeks as you ship the first wave of AI workflows.

Do I need to take the free assessment first?

Not strictly required, but strongly recommended. The free assessment is our standard qualifier and helps both sides confirm fit before committing to the paid program. Most clients who book the 8-week program have gone through the free version first.

What if we don't have a HubSpot Pro subscription?

The framework applies to any CRM environment — Salesforce, HubSpot Starter, Pipedrive, even Excel-driven teams. We are a HubSpot Diamond Partner, so HubSpot-native customers get the deepest integration recommendations. We'll confirm CRM compatibility before sending an SOW.

Who needs to attend the weekly sessions?

Your internal champion (typically RevOps lead, Director of Operations, or VP) must attend every session. Beyond that, depends on the week — Week 1 ideally includes 2-3 senior stakeholders; build weeks include the team members who'll own the workflows; Week 8 includes the executive sponsor.

What's the time commitment from our side?

Weekly 60-90 minute working sessions, plus 2-4 hours of internal work between sessions (reviewing materials, gathering data, championing internal alignment). Less in early weeks, more during build weeks. We design the engagement to fit a busy operator's calendar.

Can we pause or extend the engagement?

One pause of up to 2 weeks is allowed without penalty (illness, leadership transition, unexpected event). Extensions beyond 8 weeks are charged at hourly rates. We've designed the program to fit 8 weeks reliably; pauses are the exception not the norm.

What about data privacy and AI governance?

Every Quantum AI build uses enterprise-grade APIs (Claude, OpenAI, Gemini) configured with Zero Data Retention by default — your prompts and data are never used to train models. We follow ISO 42001:2023 AI Governance best practices and design every system with audit logs, PII redaction, and role-based access from the start.

What happens if we want to engage further after Week 8?

Optional. Three paths: take everything and self-run; fixed-fee builds for additional use cases ($5K–$25K each); or monthly retainer for ongoing partnership ($1K–$5K/month). Your decision, your timeline, no pressure follow-up sequence.

What's the refund policy?

If after Week 1 you decide the program isn't a fit, we refund 75% of the kickoff payment and you keep the Week 1 deliverables. After Week 1, the engagement is non-refundable but you keep all completed deliverables to that point.
