How Much Does HubSpot Onboarding Cost?
The short answer
There are two numbers, and most people budget for only one of them.
- HubSpot's required onboarding fee. A one-time charge from HubSpot, $1,500 to $7,000 depending on hub and tier. Required on Professional and Enterprise.
- Implementation. What it costs to actually configure the portal: objects, pipelines, workflows, migration, integrations. HubSpot's onboarding does not include this. Partners price it from roughly $3,000 to $20,000.
The fee that surprises people is the first one, because it is a footnote on the pricing page. The cost that hurts is the second, because it is invisible until the guided sessions end and the portal is still empty.
Quantum is a HubSpot Platinum Solutions Partner, so read the rest knowing we sell implementation. We have also written the section on when you should not hire anyone.
HubSpot's fee and a partner's price, side by side
These are the two numbers people try to compare and almost never see together. HubSpot's figures are their own published fees, read from their pricing pages in September 2026. Quantum's are the rates on our pricing page.
| Hub (Professional) | HubSpot's required fee | Quantum's price | The difference in what you get |
|---|---|---|---|
| Sales Hub | $1,500 | $3,000 | HubSpot advises while you build. We build pipelines, sequences and dashboards, then train the team on them. |
| Marketing Hub | $3,000 | $4,000 | HubSpot walks you through the tools. We set up the email domain, forms, nurture frameworks and campaign foundations. |
| Service Hub | $1,500 | $3,000 | HubSpot covers the concepts. We build ticket pipelines, automation and service dashboards. |
| All three together | $6,000 if bought separately | $10,000 | Three separate HubSpot programs against one system onboarded as a whole, with the objects shared across hubs. |
On Enterprise, HubSpot's fees roughly double: $7,000 for Marketing Hub and $3,500 each for Sales Hub and Service Hub. Starter tiers carry no required onboarding fee at all.
Why a partner costs more than HubSpot's fee
Because they are not the same service, and this is the distinction the pricing pages never make.
- HubSpot's onboarding is advisory. Guided sessions with a specialist who teaches, advises and answers questions. They do not configure your portal.
- A partner's onboarding is construction. Objects, pipelines, properties, workflows and reports actually built, in your portal, with your data.
Teams who buy the first expecting the second finish onboarding, open the portal, and find it empty. That is the most common way this goes wrong, and it costs a quarter.
The comparison above is also not the real choice for most buyers, because of the next section.
The part most buyers miss: the fee can often be waived
HubSpot's Solutions Partner Program page states that partners can waive onboarding fees for their clients, up to $6,000 in value per client. The trade is that the partner delivers the onboarding instead of HubSpot.
So the real comparison is not "HubSpot's fee plus a partner's fee." For most Professional and Enterprise buyers it is:
- Buy direct: pay HubSpot's onboarding fee, get guided sessions, build the portal yourself.
- Buy through a partner: the HubSpot fee is often waived, you pay the partner instead, and the portal gets built.
Eligibility varies by hub, by tier and by deal, so confirm it with your HubSpot rep rather than assuming. Any partner who tells you it is automatic is overselling.
Beyond onboarding: what a full implementation costs
Onboarding gets a hub switched on. Implementation is what you buy when there is real data to migrate, systems to connect, or a process that does not fit out of the box.
| Engagement | Scope | Price |
|---|---|---|
| Standard implementation | Up to 50 hours: foundations, database, one hub configured, training | $10,000 |
| Growth-ready implementation | Up to 100 hours: three hubs, automation build-out, custom objects, weekly sessions | $20,000 |
| Portal assessment | Focused review with a prioritized list of findings | $1,497 |
| Deep-dive audit | Full teardown across data, automation, reporting, integrations, pipeline, adoption | $7,500 |
| Hour blocks | From $350 for a single hour down to $250 per hour at 100 hours | $3,250 to $25,000 |
What moves the number
- Data migration. Coming from a spreadsheet is trivial. Coming from Salesforce with ten years of custom objects and reports is the bulk of the project.
- Integrations. Every system that must talk to HubSpot adds scope, and the difficulty is in the edge cases, not the connection.
- Number of hubs. Three hubs is not three times one hub, but it is never one hub's price either.
- Whether anyone owns it internally. The cheapest implementations have one person inside the company who makes decisions. The expensive ones do not.
- Process clarity. If your sales process is not written down, the project includes defining it, and that is consulting rather than configuration.
How to decide what you actually need
Work down this list and stop at the first one that describes you.
1. You are on Starter with a simple process
Buy nothing. There is no required onboarding fee on Starter, and the product is learnable. Use HubSpot Academy and your own time.
2. Professional, one hub, clean data, no integrations
HubSpot's own onboarding is usually enough, provided someone on your team has the time to do the configuration between sessions. Budget the fee and a few weeks of that person's attention.
3. Professional or Enterprise, real data to migrate, or systems to integrate
This is where a partner pays for itself, and where the fee waiver usually makes the partner cheaper than going direct. Ask any partner you talk to for a fixed scope and a named number, not an hourly estimate.
4. Multiple hubs, custom objects, or a process nobody has written down
Full implementation. The risk here is not cost, it is building the wrong thing quickly. Expect discovery before configuration, and be suspicious of anyone who quotes without it.
5. You already bought and it went badly
This is its own category and it is more common than the others combined. What you need is an audit before any further build, so you know what to keep. A focused portal assessment runs $1,497 and a full teardown is $7,500.
