What does a booked meeting really cost you?
Put in your own pay, goals and tools. Compare phone, cold email, agency, SEO and AEO, and paid ads on the same math, then see what you are paying today versus what you think you are paying.

Send your numbers, then pick a time
Send your numbers to Shawn and book a time to review them. In 30 minutes we will show you:

The formula for the cost of a B2B meeting
Cost per meeting is simple on paper: take everything the channel costs you in a month and divide it by the meetings it books in that month. The hard part is counting everything.
All-in rep cost = (base pay + variable pay) x (1 + taxes and benefits) / 12, plus data, dialer and tools, plus the management overlay (manager cost / 12 / reps per manager)
Then keep walking down the funnel. A booked meeting becomes a held meeting after no-shows, a qualified opportunity after discovery, and a closed deal after your win rate. Each step has its own cost, and the cost per closed deal is the number that decides whether a channel is worth it.
Why cost per booked meeting is not enough
Two channels can show the same cost per booked meeting and have very different economics. One may book meetings that show up and qualify. The other may book meetings that never happen. That is why the calculator compares every channel on cost per held meeting, and shows cost per qualified opportunity and cost per closed deal beside it.
Phone: an in-house SDR
The visible cost is salary and commission. The full cost adds payroll taxes and benefits, data and contact credits, a dialer and CRM seat, and the share of a manager's time the rep consumes. Add ramp time and turnover on top. Activity matters as much as cost: dials per day, the share that reach a person, and the share of conversations that become a meeting. A tool that raises the number of live conversations per hour changes the math more than a pay cut does.
Cold email, in house
Email looks cheap because the tools are cheap. The cost is the owner's time to build lists, write copy and handle replies, plus sending platforms, extra domains, warm-up, monitoring and verified data. The output depends on emails sent, positive reply rate and the share of positive replies that book. Deliverability decides all three, so treat it as part of the cost, not an afterthought.
Agency or done-for-you
An agency swaps your fixed internal costs for a retainer and sometimes a fee per booked meeting. Count your internal time too: reviewing lists, handling handoffs and keeping the CRM clean. Ask what is counted as a meeting, who owns the data and domains, and what happens to the work if you stop.
SEO and AEO
Search engine and answer engine optimization is the slowest channel and the one that keeps working after you stop paying. The honest math includes the lag before results, the content and tooling cost, and how long the work keeps paying back. Enter your own visitors, inquiry rate and meeting rate, and watch the cost you carry before the first meeting arrives.
Paid ads
Paid advertising is the fastest to start and the easiest to measure. Spend divided by cost per click gives visitors, then your click to lead rate and lead to meeting rate give meetings. Add the management fee. Compare cost per held meeting, because ad leads often book and then do not show.
MSPs and office technology dealers
Managed service providers and copier and office technology dealers sell recurring, relationship driven contracts. A single meeting is worth more than in a transactional business, but the cycle is longer and the buying committee is larger. That makes three numbers matter most: how many booked meetings are actually held, how many become qualified opportunities, and how much a closed contract is worth over the first year. Use the funnel inputs to put your own figures on each. Our AI Task Matrix for MSPs and matrix for copier dealers show which sales and marketing tasks can be automated to lower these costs.
What am I really paying today?
Most teams track the visible spend and the meetings booked, and quote that as their cost per meeting. The real number includes costs nobody tracks, such as management time, turnover and ramp, tool sprawl and admin time, and it is measured against meetings that actually happen. The dream versus reality panel above shows the gap.
What else to weigh besides cost
- Speed: how soon the first meetings arrive.
- Control: who owns the messaging, data and domains.
- Brand risk: who is speaking to your market in your name.
- Deliverability: whether email reaches the inbox at all.
- Ramp and turnover: what you lose each time a rep leaves.
- Patience: how long you can wait for compounding channels.

Frequently asked questions
How much does a B2B sales meeting cost?
It depends on the channel, and the honest answer is a formula, not a single number. Cost per meeting equals the all-in monthly cost of the channel divided by the meetings it books each month. The calculator above runs that formula on your own pay, tools and activity so you get your number instead of an industry average.
Is it cheaper to hire an SDR or use an agency?
An in-house SDR carries pay, taxes and benefits, data, a dialer, management time, ramp time and turnover. An agency replaces most of that with a retainer, and sometimes a per-meeting fee. The calculator puts both on the same math so you can compare cost per held meeting, not just cost per booked meeting.
What is the difference between a booked meeting and a held meeting?
A booked meeting is on the calendar. A held meeting actually happened. No-shows and cancellations mean you pay for booked meetings that never turn into a conversation, so cost per held meeting is the fairer number to compare.
How long does SEO and AEO take to produce meetings?
Search and answer engine work compounds, but it has a lag before it shows results. The calculator lets you enter your own lag in months and shows the cost you carry before the first meetings arrive, so you can decide how long you can wait.
Does this work for MSPs and copier or office technology dealers?
Yes. Managed service providers and office technology dealers sell long, relationship driven deals where the meeting is the start of a longer cycle. Set the deal value and close rate to your own numbers, and use the held meeting and closed deal figures rather than the booked meeting count.
Where do the numbers in the calculator come from?
Every input is yours. The starting values are placeholders so the math is visible, not benchmarks or statistics. Replace each one with your own pay, activity and conversion data.
