Most MSPs asking which CRM to buy are answering the wrong question. You almost certainly already run a PSA: ConnectWise Manage, Autotask, HaloPSA or Syncro. Every one of them ships a CRM module. So the decision in front of you is not which CRM to purchase. It is whether new business runs inside your PSA or alongside it. Get that wrong and no amount of software fixes it.

Buy nothing yet if

Your deals stall for reasons a database cannot fix. If nobody agrees what a qualified lead is, new software will document the disagreement at higher resolution. Fix the process first. We will tell you this on a call and it costs you nothing.

The part most MSPs get wrong: the handoff

When a CRM sits alongside a PSA, the failure is almost never the tools. It is the boundary.

A clean division looks like this. The CRM owns everything up to closed won: prospects, campaigns, pipeline, proposals, forecasting. The PSA owns everything after: onboarding, tickets, time, contracts, renewals, billing. One object crosses the line, the won account, and it crosses once.

The common mistake is a two-way sync of everything. Every ticket in the CRM, every marketing contact in the PSA. It feels thorough and it produces two systems that are both wrong, plus a recurring argument about which one to trust. Sync the minimum that has to cross, and make the direction explicit for each field.

What is the best CRM for an MSP?
There is no single answer, and any article that gives you one is selling something. If growth is referral-led and the owner runs sales, your PSA's CRM module is usually enough. Once you have a dedicated salesperson or marketer, run campaigns, or need a defensible forecast, a purpose-built CRM alongside the PSA earns its cost. Do I need a CRM if I already have ConnectWise or HaloPSA?
Not automatically. PSAs are architected for service delivery and their CRM modules reflect that: strong on accounts you already serve, thinner on winning new ones. If your growth comes from referrals and existing accounts, staying in the PSA is a legitimate choice. If you are trying to build a repeatable acquisition motion, the PSA will fight you.
Can HubSpot integrate with my PSA?
Yes, with the major platforms, through native connectors, middleware, or a custom build against their APIs. The integration is rarely the hard part. Deciding what crosses the boundary and in which direction is the hard part, and it is worth designing before anyone connects anything.
How much does a CRM cost for an MSP?
Seat-based pricing across every option here, and it changes often enough that printing figures would mislead you. Check vendor pricing directly. The cost people miss is not licensing, it is the configuration, the data migration, and the integration to your PSA. Budget for those and the licence question gets much simpler.
Should we just run sales inside our PSA?
For a lot of MSPs, yes, and we will say so on a call rather than sell you a second system. The signal that it has stopped working is usually reporting: you can see tickets and time clearly but cannot answer which marketing produced which revenue, or what next quarter looks like.
What size MSP justifies a dedicated CRM?
Headcount is a weaker signal than role. The threshold is the first person whose job is winning new business rather than delivering it. Before that hire, a PSA module and discipline will hold. After it, that person needs tooling built for acquisition, and asking them to work in a delivery system is how good salespeople get frustrated and leave.
How long does it take to get a CRM running for an MSP?
