Marketing and CRM built for managed service providers
Why does MSP marketing usually fail?
Most managed service providers do not have a marketing problem. They have a follow-up problem. Leads arrive from a referral, a webinar, or a trade show, land in an inbox, and die there because nobody owns the next step and the CRM does not tell anyone it happened.
The second failure is measurement. When quoting lives in one system, tickets in another, and marketing in a third, no one can say which campaign produced revenue. So budget goes to whatever is loudest rather than whatever works.
We fix both, in that order. The operations layer first, then the demand that feeds it. Marketing spend on top of a broken pipeline just produces more leaks.
What we do for managed service providers
- Pipeline and CRM build. HubSpot configured around how an MSP actually sells: managed services, projects, hardware, and renewals as separate motions with their own stages and forecasting.
- Lead generation. Outbound built on real buying signals, list building from ZoomInfo, and sequences your techs will actually follow.
- Marketing that feeds sales. Content, search, and campaigns aimed at the searches your buyers run, wired to attribution so you can see which ones close.
- Integration with the tools you run. ConnectWise, ZoomInfo, ConnectAndSell, quoting, and billing connected to the CRM so the pipeline reflects reality.
- Renewals and QBRs. The recurring revenue motion most MSPs leave entirely manual.
What is the best CRM for an MSP?
For most managed service providers the honest answer is HubSpot, and the reason is not the feature list. It is that an MSP sells three different things at once, and the CRM has to hold all three without a developer.
A managed services deal is a recurring contract with a long consultative cycle. A project is one-off and margin sensitive. Hardware is transactional. Run them through one generic pipeline and the forecast is meaningless. HubSpot lets you model them separately, then roll them up, and it connects to the operational tools an MSP already runs.
The CRM is not the hard part. Configuring it around the way you sell, and getting technicians and account managers to use it, is the hard part. That is the work we do.
What it costs
We publish our prices. Every number below is live on our pricing page, and you can read them before you talk to anyone.
- HubSpot onboarding, Sales Hub Pro, $3,000. Guided setup of pipelines, properties, sequences and reporting. Your team does the work, our consultants direct it.
- All Hubs onboarding, $10,000. Marketing, Sales and Service onboarded together as one system.
- Standard implementation, $10,000. We build it for you rather than guiding you through it.
- Admin as a Service, $2,000 to $5,000 a month. For teams with no HubSpot admin of their own. The top tier is a dedicated administrator with same-day response.
- Workflow automation, $3,500. List building, $1,500. ZoomInfo integration, $5,000. Fixed-price RevOps projects.
- Monthly sales blitz, $1,000 per rep per month. ConnectAndSell seats plus coaching, for teams that need conversations now.
If a scope does not fit one of these, we quote it before we start. We do not bill discovery.
Does this actually produce revenue?
One dealer we work with, a ten million dollar business, won a three million dollar managed IT deal. Not from a new campaign. From working opportunities already sitting in their own data, once the pipeline was built to surface them.
That is the pattern. Most providers hold thousands of leads hiding in their own systems: lapsed customers, unconverted quotes, contacts at accounts that already buy something else. Finding those is cheaper than buying new ones.
